Framework contract for the care of a video conference system in the period 01 10 2025 - 30 09 2028 36 months Type and scope of performance Call contingent of up to 500 hours of external services for operation support maintenance and further development of two discussion systems in the Federal Institute for Vocational Training BIBB with a term of 36 months upper limit 1 500 hours Description The regular implementation of conferences in the BIBB in presence using two discussion systems provided by the BIBB and in hybrid form with a connection to video conference software technology as well as the internal coordination with the organizers in BIBB should be carried out by a suitable external service provider As a rule the events have a time frame of 4-8 hours The client is not obliged to call up the full number of the hourly quota Tasks to be covered The tasks to be covered which the external service provider has to fulfill - Accessibility for the employees of the BIBB by email and telephone Monday to Friday between 8 00 a m and 4 00 p m for organizing appointments and advice planning of events as well as general topics - Consultation organization of the dates for the use of the two hybrid discussion systems with those responsible responsible in the BIBB - Advice planning of events with those who are responsible in the Bibb - Return transport of the technology used and all necessary accessories to use locations if the venue is not the property of the Bibb - Set up and dismantling of the technology used at user locations if the venue should not be the property of the BIBB - Building and dismantling the technology used and all necessary accessories in the Bibb properties - Support of the event partly in presence on site or on call in the properties of the Bibb - Support of the event partly in presence on site or on a on -call at uses if the venue is not the property of the BIBB - Return transport assembly and dismantling as well as support for up to two simultaneous events in the properties of the BIBB and in use if the venues are not the properties of the BIBB - Adaptation calibration leveling of the two hybrid discussion systems such as speeches based on the conditions on site and specifications of the organizer responsible - Installation handling and support of the video conference software used e g webex meetings zoom or comparable on laptops belonging to the discussion facility - Regular maintenance of the two hybrid discussion systems including control for errors damage wear and possibly the reason for countermeasures in consultation with the BIBB - Supporting advising function in the area of expansion further development of the discussion system and all technical accessories - Requirement of the hybrid video conference technology available in the BIBB for the implementation of BIBB -internal events loaning provision of equipment and support for the same - their billing should be carried out exclusively via hourly quotas - Regular coordination with the IT lecture Z 5
