Request for proposals are invited for Let’s Stop HIV Together (Together) Photography and Video Production Pre-Production • Participate in a Kick-off Meeting within Five Days of Award. • Participate in up to Ten, One-Hour Pre-Production Meetings with Fhi 360 and Cdc for Planning Purposes. • Develop a Production Package that Provides the Final Photo and Video Production Plans, High-Level Mood Boards, Working Scene Structure, Crew Assignments, Key Requirements, Project Schedule, Shot Lists, Travel, Wardrobe, Props, Location Photos, Project Breakdown, Etc. • Identify All Locations for the Two Shoots in Two Cities: Two Days in Philadelphia/Tbd (Timing Mid-June) and Three Days in Atlanta (Timing Late June- Early July). • Present Location Options with Photos and Secure at Least Two Locations in each City Per Day (i.e., Ten Total Locations). Note that the Third Day in July Requires Healthcare Settings. Must Include Permits, Fees, Catering, And Insurance. May 31, 2023 (Production 1) June 9, 2023 (Production 2) 3 • Develop Production Books in Advance to Prepare Crew, Participants and the Client for each Day of the Shoot. Production Books should Include Detailed Timelines for Each Day, Detailed Participant Information with Headshots, Location Information, etc. • with Oversight from Fhi 360, Manage All Aspects of Participant Recruitment. Anticipate 16-20 Total Participants, with up to 10-14 Who will Require Travel to Production Cities/Sites. This Includes Creation and Management of the Recruitment Application, Conducting Pre-Interviews and Background Checks of Applicants, and Providing Travel (Airfare, Transportation, Hotel, Per Diem), And Honorarium Arrangements ($200 Per Participant Per Day). • Schedule and Conduct a Final Pre-Production Meeting Prior to each Production. Production • Provide Photo Production Crew for each Production with Two Photographers—One for Main Production and One For behind-the-Scenes Footage. • Provide a Video Production Crew for each Production. • Provide Two Hair Stylists and Two Make-up Artists with Experience with Diverse Hair Types (including Black Hair) And Skin Tones. • Provide Portfolios from Photographers, Videographers, Hair Stylists, and Makeup Artists Prior to Officially Joining. • Prior to Shooting, Conduct Final Location Scouting at each Site with Fhi 360 Technical Monitor. This should be 1-2 Days before the Production Begins. • Provide Designated Location Addresses and Parking Instructions for each of the Production Days. • Coordinate and Provide on-Site Covid Testing for All Participants and Cdc and Fhi 360 Staff in Attendance. • Capture Photography and Video Content over each of the Production Days. • Provide Photographers, Videographers, and Equipment To Capture Participants’ Lifestyle Photography, Interviews/Testimonials, Document behind the Scenes, Produce Activity and Portrait Shots, and B-Roll Per a Predetermined Shot List. • Manage Creation of One-Minute of User-Generated Video Content for each Participant. Footage to be Captured on Cell Phone (Provided by Vendor). Mid-June, 2023 (Production 1) Late June-Early July, 2023 (Production 2) 4 • Provide All Necessary Technology and Gear (including Cameras, Tripods, Lenses, Accessories, Lighting, etc.) for Each of the Production Days. • Provide Props for each Production Day. Final List of Props Tbd Based on Final Shot List. • Provide Release Forms for All Participants to Sign. • Provide a Viewing Area for on-Site Cdc and Fhi 360 Clients at Shoot. • Coordinate Transportation to and from Locations for Participants and Clients. • Provide Catering for Two Meals (Breakfast and Lunch) and Beverages each Day during Production for All Attendees (Staff, Participants, Clients and Fhi 360 Team). Postproduction • Deliver Photography as Follows: O 500 Color-Corrected, Rights-Free Digital Photographs in Raw and High-Res Jpeg Formats (Average of 100 Per Day). O All Raw Photo Files from each Day. • Deliver Edited Video Rough Cut Files as Follows: O 20 Testimonial Style Videos; Each Cut to the Following Lengths: ▪ 1 X Long (30 to 60 Seconds) ▪ 1 X Medium (15-Seconds) ▪ 1 X Short (6-Seconds) O 4 Psa Style Videos Rough Cuts (up to 60-Seconds) ▪ 2 English ▪ 2 Spanish • Provide 60 Minutes of behind-the-Scenes Video Footage. • Provide User-Generated Video Content (from Multiple Participants) for a Total of Approximately 20 Minutes of Video (Cell Phone Footage). • Provide Color-Corrected 100 behind-the-Scenes Photos. • Provide Full Transcripts of Entire Video Interviews. O if Original Language is Spanish, Provide Both Spanish and English Translation. • All Raw, Unedited Video Footage to be Downsized and Exported to 720p .mp4s. • Deliver All Photo and Video Files on Three, Cdc-Encrypted Hard Drives with an Accompanying Hard-Drive Directory. Each Hard Drive will Contain All Raw and High-Resolution Photo and Video Files and be Mac-Compatible or Pc Compatible as Requested. August 20, 2023 5 • Provide Participants with Honorarium Payments of $200/Day and Transportation/Per Diem Reimbursements Via Mailed Checks, Eft, or Cash Cards.
