Procurement of an AI-supported, camera-based system for in-process control

Tender Summary

The University Hospital Münster in Germany from Europe region has released this tender for The University Hospital of Münster is planning to procure an AI-supported, camera-based system for in-process control of the aseptic manufacturing of patient-specific cytostatic preparations. This system will be fully integrated into the Zenzy production module (Mesalvo) already in use at the clients facility. The clients pharmacy produces approximately 50,000 patient-specific cytostatic and antibody preparations annually for inpatients and outpatients. The entire manufacturing process, from the physicians order through manufacturing instructions and labeling to documentation, has been managed and qualified within the Zenzy cytostatic program since 2004. In-process control is currently performed visually using the four-eyes principle and volumetrically. Increasing production volumes, high-priced medications, and a shortage of skilled personnel necessitate automated, fully documented control of every critical manufacturing step. This control must be implemented seamlessly within the existing Zenzy process to avoid parallel documentation and maintain the validated manufacturing workflow. The planned procurement includes: • Software licenses for 3 manufacturing workstations and release software for 3 pharmacist workstations • Camera hardware and installation on the existing workbenches • Setup of integration with Zenzy, support with qualification and validation • Training of manufacturing staff and pharmacists • Maintenance, updates, and support for 5 years. Mandatory technical features: The offered system must fully and demonstrably meet at least the following requirements: 1. To avoid media breaks, duplicate documentation, and transmission errors, the system must allow full, manufacturer-validated integration into the Zenzy manufacturing module. Manufacturing orders, in-process control, deviation reporting, and documentation must run within the currently used Zenzy manufacturing module. 2. Automatic volumetric control of each withdrawal via real-time image recognition of the syringe scale. Control of each step instead of a simple final product check. The system should also be suitable for small volumes where gravimetric methods reach their limits. The product should avoid additional weighing steps at the workbench. 3. Automatic identity verification of starting materials through text recognition of the vial label and barcode/DataMatrix reading. This prevents potentially life-threatening mix-ups of cytostatic drugs. Furthermore, double-checking ensures the safety of preparations whose codes are unreadable. 4. Immediate warning in case of deviations in active ingredient or volume during manufacturing and before the next step. This allows errors to be corrected before completion and prevents the waste of high-value drugs. 5. Documentation of all critical steps and web-based,Location-independent testing and approval by the pharmacist. This is intended to ensure complete traceability in accordance with pharmacy regulations. Approval without physical presence in the cleanroom reduces staffing shortages. 6. Possibility of retrofitting existing workbenches without structural modifications and without production downtime. Patient care must continue during implementation. Call for Expressions of Interest: Companies that can offer a system fulfilling all the criteria under point 3 are requested to express their interest and submit the following documentation: • Product description with documentation for each criterion 1 to 7 individually, as well as corresponding declarations of conformity, etc. • Proof of complete integration into the Zenzy production module, e.g., confirmation from Mesalvo • References from hospital pharmacies with productive use in the cytostatic drug sector • Documentation on qualification and/or detection accuracy.
