Services related to the organization of exhibitions, fairs and congresses as part of the organization of events of the Polish Nuclear Energy Program for the Ministry of Energy, within the territory of the Republic of Poland or abroad

The Ministerstwo Energii in Poland from Europe region has released this tender for 1) The subject of the framework agreement is to define the framework conditions for the award and performance of executive contracts that may be placed by the Contracting Authority during its term. 2) The Contracting Authority may award executive contracts concerning the organization of exhibitions, fairs and congresses as part of the organization of events of the Polish Nuclear Power Program for the Ministry of Energy, within the territory of the Republic of Poland or abroad, in particular: seminars, conferences, meetings, training courses, online conferences, plenary and study visits, as well as exhibitions, information and educational stands, outdoor events, etc. Event organization will include in particular the following services: I. booking and rental of conference rooms; II. arrangement and provision of conference room equipment; III. providing meals for Event participants; IV. providing educational and information materials; V. providing accommodation for Event participants; VI. running the competition secretariat; VII. organization of meetings in on-site, online or hybrid conference modes, including, among others, a streaming service; VIII. ensuring promotion of the Event through, among others, a poster/electronic banner, mailing, social media, the internet, a video in the form of an invitation to the Event, a video summarizing the Event; IX. ensuring passenger and delivery transport; X. securing the Event in terms of formal and legal aspects, fire safety, the safety of Event participants and maintaining order during the event (personal protection); XI. ensuring Event service, including the appointment of a person/persons to provide comprehensive service in terms of its proper course from the commencement of the implementation of the executive agreement to its conclusion in order to ensure the proper implementation of the Event; XII. providing coordination services at the Event venue; XIII. providing other services, including a master of ceremonies, animator, hostess, guide, etc. 3) The basic requirements regarding the implementation of individual services as part of the organization of Events are included in the draft Framework Agreement. with tender notice no. 698006-2026 published on 09 Oct 2026.
